Email Migration
Cutovers that finish before Monday standup.
Moving email is the one project everyone in the business notices. We plan the cutover around your working week, pre-stage the data so the final sync is minutes rather than hours, and stay on the bridge until the last mailbox reports clean.
What you end up with
- Cutover windows measured in minutes, not the whole weekend
- Item-level reconciliation report per mailbox, signed off in writing
- SPF, DKIM and DMARC left correct — not left permissive
- Rollback plan documented and tested before the window opens
Scope
What the engagement covers.
Platforms & tooling
- Exchange Online
- Exchange Server
- Google Workspace
- IMAP / POP
- Zimbra
- cPanel mail
- Lotus Notes
- 01
Discovery and mailbox audit
Full inventory of mailboxes, shared mailboxes, distribution lists, aliases, delegations, calendar permissions and mail-enabled apps — before anything moves.
- 02
Pre-staged sync
Historic mail copies across in the background over days. The cutover window only carries the delta, which is why it takes minutes.
- 03
DNS and mail-flow cutover
MX, SPF, DKIM and DMARC planned and lowered ahead of time, switched during the window, and verified against real delivery tests.
- 04
Client and device reconfiguration
Outlook profiles, mobile devices, scan-to-email, CRM connectors and anything else holding an old set of credentials.
- 05
Post-cutover reconciliation
Item-count comparison per mailbox, an exceptions list, and a written sign-off report rather than a verbal "looks fine".
How it runs
Four phases, agreed before we start.
- 01
Assess
Output: environment map, risk list, fixed-price proposal.
- 02
Plan
Output: runbook, comms templates, rollback criteria.
- 03
Execute
Output: live status channel, step-by-step verification log.
- 04
Support
Output: reconciliation report, documentation, handover session.
Questions
About email migration.
Will people lose access to email during the move?
No. Mail keeps flowing throughout. During the cutover window new mail queues at the sending server for a few minutes and delivers as soon as MX propagates — nothing bounces and nothing is lost.
Do calendars, contacts and shared mailboxes come across?
Yes, along with delegate permissions, recurring meetings, room resources and distribution groups. These are the parts most often missed, so they get their own checklist and their own verification pass.
How far back does historic mail go?
All of it, by default. If you would rather archive beyond a certain date instead of migrating it, we can split the move and hand you a searchable archive.
